    • あなたが自分で API キーを入れ、クラウドの AI(OpenAI・Anthropic Claude・Google Gemini・AssemblyAI・Deepgram)を選び、さらにそのサービスへの送信に同意したときだけ、音声や文章が、端末からそのサービスへ直接送られます。

    • 文字起こし:Apple の SpeechAnalyzer(端末内)。
    • ライブ字幕:Apple の SpeechAnalyzer(端末内)。

    3-2. クラウドの AI(任意・あなたの API キーを使用)

    3-3. その他

    • Apple(iCloud / CloudKit):

    通信は HTTPS(暗号化)で行います。

    Minutes Privacy Policy

    Effective date: October 7, 2026
Provider: Matsushima AI Lab (Yusuke Matsushima)
Contact: the Matsushima AI Lab contact form

Minutes (“the app”) is an iPhone and iPad app that records meetings and helps you transcribe them and write minutes. This page explains what information the app handles, where it is stored, and where it is sent.

    1. The short version

    • The developer does not collect your data. There is no developer server, no account, no ads, no analytics or crash-reporting SDK, and no tracking.
    • Recordings, transcripts, minutes and related data are stored only on your device and in your own iCloud (private database).
    • With the default on-device processing (free), neither audio nor text leaves your device.
    • Only if you enter your own API key, choose a cloud AI (OpenAI, Anthropic Claude, Google Gemini, AssemblyAI or Deepgram), and agree to sending data to that provider, the app sends audio and/or text directly from your device to that provider. It does not pass through any developer server.

    2. Information the app handles

The app does not collect location, contacts, photos, advertising identifiers, or device identifiers.

    3. Sharing with third parties

3.1 On-device processing (nothing is sent)

    • Transcription: Apple SpeechAnalyzer (on device).
    • Minutes: Apple Intelligence (on device, supported devices only).
    • Speaker separation and voice matching: FluidAudio models (on device). The model files may be downloaded the first time; none of your data is sent in doing so.
    • Live captions: Apple SpeechAnalyzer (on device).
    • Translation: “Apple Translation” runs on device.

3.2 Cloud AI (optional, with your own API key)

To use one of these services, you must enter its API key in Settings and allow sending on the consent screen. Consent is recorded per provider and per device, and can be withdrawn at any time. Nothing is sent to a provider until you agree, even if a key is present.

The API key itself is also sent to the provider to authenticate requests, to verify the key, and to list available models.

    • How each provider stores or uses the data (retention, model training, etc.) is governed by that provider’s terms and privacy policy, not by the app or the developer. Charges are billed to your own API key.
    • With Gemini and AssemblyAI, audio is first uploaded to the provider. When transcription finishes (or fails), the app asks the provider to delete the uploaded audio (and, for AssemblyAI, the transcript). Requests to Gemini’s transcription model are sent with server-side storage turned off (store=false). Any logs the provider keeps follow its own rules.
    • “Ask AI”, follow-up email drafts and minutes translation send the transcript and minutes of the target meeting to the AI chosen for “Questions, drafts, translation”. Choosing “On-device” sends nothing.
    • Recordings may contain other people’s voices and words. Before using a cloud AI, tell the participants and get their consent (see Section 7).

    3.3 Other

    • Apple (iCloud / CloudKit): see Section 4.
    • Sharing and export: data goes where you send it through the share sheet or by saving a file.
    • Nothing is sent to the developer, advertisers, or data brokers.

    4. iCloud sync

To share minutes between devices signed in to the same Apple Account, the app uses SwiftData with CloudKit and stores minutes, transcripts, notes, registered voices and usage records in your iCloud private database. This is an Apple service; the developer cannot read its contents. “Sync audio files” is off by default; when on, recordings are also stored in iCloud (about 14 MB per hour). If you are not signed in to iCloud, data stays on the device only. See Apple’s privacy policy: https://www.apple.com/legal/privacy/

    5. Permissions

You can change permissions at any time in the iOS Settings app. Features other than the one concerned keep working if you decline.

    6. Retention and deletion

    • When you delete minutes they first move to “Recently Deleted” and are permanently deleted after 30 days. You can delete them permanently right away from there.
    • In Settings > Data & Privacy you can:
      • Auto-delete audio (after 7, 30 or 90 days; transcripts and minutes are kept)
      • Delete all data (minutes, audio, transcripts, summaries, notes, registered voices, usage records; nothing stays in “Recently Deleted”; with iCloud sync on, it is also deleted from other devices and from iCloud)
      • Delete all API keys (keys shared via iCloud Keychain are removed from other devices too)
    • Deleting the app removes the data on that device. Data in iCloud can be removed in iCloud settings (Settings > [your name] > iCloud > Manage Storage).
    • Data sent to a cloud AI provider may be retained under that provider’s policy. Send deletion requests to the provider directly.
    • The developer holds none of your data, so there is nothing for the developer to delete.

    7. Recording other people

Recording and transcription affect participants’ privacy. Depending on your country, region or organization, you may need consent before recording. The app’s guide and the consent screen for cloud AI remind you to tell participants and obtain their consent. Obtaining consent is your responsibility.

    8. Children

The app is not directed to children under 13 (or the minimum age in your region), and does not knowingly collect children’s personal information. (The developer does not collect data in the first place.)

    9. Security

Network communication uses HTTPS. API keys are stored in the Keychain. Please keep device protections (passcode) and Apple Account two-factor authentication enabled.

    10. Changes

If this policy changes, this page will be updated with a new effective date. Significant changes will also be noted in the app’s update notes.

    11. Contact

Please use the Matsushima AI Lab contact form. For help using the app, see the support page.
